Student name & address details (how to report)
This page explains how to correctly handle students’ names and their addresses when reporting VET Information Standard data to NCVER.
Student name information
RTOs should use the following information as a guide to correctly provide student name details:

Title:
The personal or professional title of the student. For example: Mr, Mrs, Dr etc

First given name:
Sometimes called ‘given name’ or ‘Christian name’. This must not be the student’s family name even if it is usually written as their first name

Family name:
Sometimes called ‘last name’ or ‘surname’. This is the official family name even if the student’s family name is usually written as their first name.
When a student only has one legal name, that name should be used to populate either the student’s family name or first given name.
Nicknames or abbreviated names may not be used unless they match the form of identification the student used when they created their Unique Student Identifier (USI). Other given name:
Sometimes called ‘middle name’ or ‘second name’. Only one instance of other given name must be reported against a student
The VET Information Standard enrolment form displays the student name requirements as follows:

Address information
Permanent residence:
This is the address that a student lives at on a permanent basis. For international and rural students, they should provide the physical address (street number and name, not a post-office box) where they usually reside rather than a temporary address.

International students need to provide an overseas address

Rural students should use the address from their state or territory’s ‘rural property addressing’ or ‘numbering’ system as their residential street address.

Term (temporary) address:
This is the temporary address that the student lives at during their study period. This should be a physical Australian address. Term address is only required if the student resides at a different address than their permanent address during the period of study.

Postal address:
This should be completed by the student if the address that they are wanting to provide is different from the addresses they have provided under the permanent and term (temporary) address.

Recording non-standard address information
Student unable to provide any address details
Where a student cannot disclose their address details for safety and/or privacy issues (e.g. student is in prison or under domestic violence protection), all student address fields should be left blank.
