Reporting superseded enrolments
To remain current and meet workplace or industry needs, training programs or subjects are updated and are superseded. In these instances, an enrolment in a superseded program or subject must be updated to reflect this change.
The VET Information Standard can link superseded subject and program enrolments, via the following technical elements in the subject enrolment and program enrolment data groupings:
-
Supersedes program enrolment UID
-
Supersedes subject enrolment UID
How this works
When a subject or program is superseded, the student status for any corresponding subject or program enrolments must be updated by the RTO to concluded. The RTO must then create a new enrolment for the superseding program or subject and both must be reported to NCVER so that the student’s journey continues to be captured.
As part of this process, the RTO’s student management system will need to link the ‘old’ and the ‘new’ program or subject enrolments so that NCVER can identify which program or subject enrolment has been superseded and by which program or subject enrolment.
This occurs by reporting the relevant unique identifier of the superseded ‘replaced’ enrolment in the technical element of the superseding ‘new’ program or subject enrolment. The unique identifier will either be the supersedes program enrolment UID or supersedes subject enrolment UID depending on whether it is the program or subject being superseded.
Validation rules
Reporting superseded enrolments for programs and subject on Training.gov.au must match the superseded/superseding relationship listed on Training.gov.au.
The superseded enrolment does not require a student status reason to be reported when the superseding is also reported.
Moving subject enrolments between superseded programs
When a program is superseded, subjects under that program may or may not also become superseded. RTOs need to ensure they report this as follows:
Subject has also become superseded |
Subject has not been superseded |
|
|---|---|---|
|
Student has successfully completed subject enrolment under superseded program enrolment. |
|
|
|
Student’s subject enrolment was in progress at time of program enrolment supersession. |
