Reporting a final outcome

This page explains how and when to report a student's final outcome under the VET Information Standard.

Understanding student status

Student status tracks a student's journey through their course, covering enrolment, participation, and completion. Every time a student's status changes, an accompanying student activity date is captured — for example, the date a student registered or commenced.

The student statuses are:

Status

Description

Registered

The student has enrolled but has not yet started participating

Commenced

The student has participated in a learning activity and/or assessment

Deferred

The student has deferred their training, with the intention of returning to complete

Cancelled

The student has cancelled their enrolment before participation began

Concluded

The student has reached a final end state and is no longer expected to engage in learning activities

Reporting a final outcome

A final outcome is recorded when a student reaches a status of Concluded and the student status reason identifies why the student has reached this state.

 

Status

Description

Successful completion

The student has been assessed and satisfies all requirements for the item of training

Unsuccessful completion

The student has attempted all assessment requirements and has been assessed as not competent, or not satisfying one or more requirements

Formal withdrawal

The student has engaged in some learning activity and notified the training organisation of their withdrawal before completing all assessment criteria

Informal withdrawal

The student has engaged in some learning activity and then ceased attending or submitting assessments without notifying the training organisation

RTO closed

Used only when an RTO has closed

Credit transfer applied

A training credit has been applied for a subject previously completed by the student, including mutual recognition

Subject assessment type

Subject assessment type identifies the type of assessment a student undertakes as part of their training:

Standard assessment

The standard assessment for the subject

Recognition of prior learning

Assessment of existing competencies acquired through formal, non-formal or informal learning

Non-assessable

The subject does not require formal assessment

Not applicable

System generated when student status reason is Credit transfer applied

When Concluded is applied automatically

In some circumstances, the status of Concluded is applied automatically:

 

  • When an RTO reports a student as deceased via the deceased indicator element

  • When a subject has been superseded via the training relationship type element.
