RTO access to NCVER systems

The introduction of the VET Information Standard will bring significant changes to how RTOs interact with NCVER systems and processes. As part of this transition, new systems and services will be introduced, while existing systems and processes will be updated or replaced.

This page provides an overview of these changes and brings together the information, guidance and support materials RTOs need to understand what is changing, and how they may impact reporting and business processes. RTOs can use this page to navigate the transition and access resources to support implementation and ongoing reporting requirements. System security and user roles

To streamline access and enhance security across NCVER systems and products, RTOs will need to familiarise themselves with new security protocols and associated user roles as further details become available. These changes will affect access to existing NCVER systems, including the AVETMISS Validation Software (AVS), USI Transcript Update Service, and Data Hub.

Each RTO will need to obtain a set of secure machine-to-machine credentials. These credentials enable STARS to recognise that an RTO can securely submit VET Information Standard data from their student management system (SMS) to NCVER.

RTOs will be able to request and manage these credentials through the MyVET Data Portal via the NCVER website. Once issued, the credentials will need to be entered into the RTO’s SMS. SMS suppliers may assist with setup and configuration; however, the credentials remain the responsibility of the RTO and should be managed securely.

Before using these credentials, RTOs should ensure their SMS supports integration with STARS. NCVER is working with SMS suppliers to support their readiness for the new reporting arrangements and will provide further information about how organisations can confirm their SMS is ready to connect.

Organisations should only request and configure production credentials when both their SMS and their organisation are ready to begin reporting under the VET Information Standard.
