Transactional reporting
A key feature of the VET Information Standard is transactional reporting, which captures the changes that happen during each student’s training journey. This page explains how transactional reporting works, including obligations, timeframes and how to handle changes to previously submitted records.
What is transactional reporting and when does an RTO report a transaction
Transactional reporting is defined as a series of transactions that occur during a student’s training lifecycle. These transactions are outlined in the student status information element and are Registered, Commenced, Cancelled, Deferred and Concluded.
RTOs are required to update and provide to NCVER the student status for each student enrolment each time the status changes. This information can be reported shortly after it occurs, or by the end of the reporting period, which under the Data Provision Requirements (DPRs), is quarterly at a minimum.
If multiple student statuses occur in the same reporting period, each must be provided within that reporting period. These multiple transactions may also be provided either individually as they happen within a reporting period or together at the end of the reporting period.
As a guide, if the student activity date for a student status occurs within the reporting period, that student status must be included even if other student status changes occur later in the reporting period.

Information elements and transactional reporting
Information elements must be provided together with other elements to support transactional reporting. Each information element contains a specification that describes the content, format and any rules and conditions associated with the data required.
