VET Information Standard – reporting overview

The following aims to help RTOs understand, prepare for, and meet their reporting obligations in accordance with the VET Information Standard and the Data Provision Requirements (DPRS).

What is the VET Information Standard?

All registered training organisations (RTOs) will be required to collect, maintain and submit vocational education and training (VET) activity data in accordance with the VET Information Standard and the Data Provision Requirements (DPR) by the end of 2028. This includes providing complete, accurate and timely data to support national VET reporting and meet compliance obligations.

Existing RTOs with no funding or contractual obligations can transition to reporting under the VET Information Standard once they have completed all required transition activities, as outlined in the RTO transition journey checklist.

RTOs with funding or other contractual reporting obligations should liaise with their relevant funding bodies to confirm their transition requirements and reporting arrangements.

Reporting frequency

How often you report your data may be determined by your funding arrangements. RTOs with funding should consult their funding body to confirm their reporting requirements.

If you do not receive funding, you must report your training activity data directly to NCVER at least quarterly; however, you may choose to submit more frequently. Submitting data quarterly at a minimum ensures that students' training activity is updated on their USI transcript sooner than annual updates.


How to report data

To report data under the VET Information Standard, you will need a student management system (SMS) that can successfully connect to the Student Training Activity Reporting System (STARS). STARS connects with SMSs and State and Territory Training Authority (STAs) systems, enabling the sector to validate and submit data without the need to extract NAT files.

RTOs with funding arrangements should discuss their reporting requirements with their funding body to confirm the appropriate reporting pathway.


Collecting accurate data

Under the DPRs, all RTOs must implement policies, procedures and systems to collect and maintain VET activity data that complies with the VET Information Standard, ensuring information is accurate, complete and fit for reporting.
